Medfield, MA - Quality administrative assistant needed for
fast paced, team oriented office. Responsibilities will include
helping draft proposals, filing, faxing and other general
administrative duties.
Springfield, MA - Quality
administrative professional with QuickBooks experience needed for
fulltime position with company in Springfield.
Responsibilities will primarily be AP/AR, including invoicing and
payroll - some familiarity with HIRD forms, W-2's and I-9's
preferred.
Receives phone calls, greets visitors, opens, sorts, and distributes mail. Schedules appointments, makes travel or meeting arrangements.
Compiles information and maintains records. Perform clerical
tasks such as filing and photocopying. Participates in any
specialized projects and maintains a written record of meetings.
Proficient knowledge of Office Suite Software packages (such as
Word Perfect Suite, Microsoft Office, or equivalent) and the
ability to create graphs, spreadsheets, and other office
documents. Must have minimum of 1 year of demonstrated word
processing skills, and ability of typing 50 wpm error free. Must
be able to communicate clearly and accurately, orally and in
writing. Must handle confidential information professionally and
work well independently.
Balances totals, conducts general maintenance
of accounting ledgers, and verifies accuracy of accounting
materials and procedures. Analyzes accounts and
reconciliation differences. Prepare monthly financial
statements and reconciliations and help in conducting audits.
Must have knowledge of basic accounting terminology and methods of
calculations. Skill in use of appropriate accounting
software. Must have skill working with spreadsheets and
databases and ability to generate reports from these software
packages. Must have knowledge in developing graphs and
charts. Responsible for helping to implement and maintain
accounting control policies and procedures, systems for financial
control.
Candidate must have a minimum of 1+ years of
full-time legal secretarial experience. Candidate must type 65+
wpm error free and be proficient in PC applications including but
not limited to MS Word, Excel, PowerPoint, and Access. Must be
organized, able to multi-task, have great communication skills and
able to handle heavy workload. Ability to work closely on all
confidential matters. Must be able to work effectively in a
professional legal environment with junior and senior level staff
members. Perform administrative tasks such as receiving phone
calls, greeting visitors, scheduling appointments and making
travel or meeting arrangements.
Provide legal support services and assist in preparation of legal
documents. Review points of law and draft documents under
supervision of legal counsel. Aid in preparing cases for trial or
administrative proceedings by collecting evidence, organizing case
file documentation and exhibits. Perform related duties such as
developing case tracking systems, preparing correspondence, and
scheduling appointments. Must have knowledge of terminology,
symbols and standard abbreviations used in legal practice. Must
have knowledge of the methods of technical and general report
writing.
Follow and
understand instructions for development of final copy materials.
Proofread and correct documents. Must have minimum of 6 months of
demonstrated word processing skills, and ability of typing 50 wpm
error free. Knowledge of Office Suite Software packages (such as
Word Perfect Suite, Microsoft Office, or equivalent) and the
ability to create graphs, spreadsheets, and other office
documents. Ability to work independently. Answers customer
service inquiries in person or on the phone.
Greet and
direct visitors. Answer telephone calls, takes messages, and/or
directs calls to appropriate individuals. Collate materials,
prepare mailings. Open, sort, and distribute mail and perform
general filing and any other clerical functions. Additionally,
schedule appointments, proofread documents, complete forms, and
perform data entry functions. Prepare simple letters, memos, and
general business correspondence using word processing software.
Perform manual
labor tasks to support the work of skilled tradesmen and
craftsmen. Perform various manual tasks such as lifting, sorting,
and cleaning up. Unpack and stores supplies. May be requested to
assist in periodic inventories of equipment and supplies. Must
have physical ability to perform light physical duties, such as
moving and storage of files of up to 35 pounds each. Must have
ability to use small hand tools and simple motorized equipment.
Must be able to follow oral and written instructions, work in a
team setting, and possesses manual dexterity, physical stamina and
endurance.
